The start of the school year is a whirlwind for athletic departments. New schedules, new players, new responsibilities—and only a few short weeks to get everything ready for game day. We know this is crunch time, and we want to help you hit the ground running.

Whether you're kicking off your first season with ScoreVision, returning for year five, or exploring ways to improve your game-day experience, this tech checklist is for you. It covers everything from content prep and equipment testing to team training and community promotion—no matter what tools you're using.  Taking the time now to get your scoreboard, staff, and systems ready will set the tone for a smooth, successful game day—right from the start.

Use this checklist to prep your content, equipment, and staff before the first game. Includes a printable version for easy reference.


Hardware & Production – Test the Tools

While we hope nothing arises, don’t let technical issues be the reason your first game hits a snag. Set time aside for a full system check. Your ScoreVision team will be on standby in case you run into an issue after taking a long summer break. 

✅ Power on all LED boards and TV displays

✅ Run a mock game to test scoreboard functionality

✅ Test audio output and music levels

✅ Check clock integrations (scoreboard, shot clock, play clock)

✅ Cycle through layouts and media triggers

✅ Verify permissions and user access to ScoreVision Cloud and Apps

People & Process – Train Up Early

Your tech is only as strong as the team behind it. While our software is easy to use, it’s always good to get a refresher. 

✅ Train volunteers, students, or staff on Scorekeeper, Producer, Capture, and Publisher

✅ Assign clear roles for scoreboard, music, streaming, and highlights

✅ Share a  game script & game-day checklist with all operators (psst… You can download our recommended checklist here.) 

✅ Confirm everyone’s login access and permissions

✅ Post or distribute Fan App QR codes at entry points

✅ Schedule a kickoff meeting with your media/AV or broadcast team

✅ Designate backup operators for key roles

Pro Tip: Lean on your team—whether they’re teachers, tech directors, or students. You don’t have to do it all alone.


Community & Promotion – Bring the Hype

Get your school and community excited—and make sure Fan App is part of the conversation.

✅ Share the Fan App download link via social media and email

✅ Promote your season opener on signage, websites, newsletters, and social media

✅ Confirm your livestream setup (if applicable)

✅ Offer updated sponsorship packages or ad opportunities

✅ Request rosters and team info from visiting teams

Pro Tip: Honor your opponents and respect the game. Including their logos and rosters makes a powerful statement, pays respect to their hard work, and builds goodwill amongst their fans.

Game Prep – Setting the Seasons

A smooth season starts with solid preparation—check off the essentials now so you're ready for anything game day throws your way.

✅ Add or update player rosters and headshots

✅ Confirm team logos and school colors

✅ Input game schedules for every sport

✅ Create or test pre-configured layouts in the Producer App

Content & Media – Prep What Fans See First

You have the power to leave a lasting impression on your community; make sure your scoreboard looks fresh and engaging. 

✅ Update brand wrappers and school-branded graphics

✅ Upload new sponsor ads (and remove expired ones)

✅ Set up spotlight graphics for starting lineups or key moments

✅ Organize media playlists by sport or event type
